European E-Invoicing and Digital Reporting Compliance
E-invoicing is mandatory or being phased in across Europe: Italy already clears B2B invoices through SDI, Poland is rolling out KSeF, France and Belgium follow, and the EU's ViDA package introduces digital reporting for cross-border B2B from 2030.
Implemented by ERPHUBs · EuropeStructured invoices, not PDFs
An e-invoice is a structured data file exchanged electronically, often via Peppol or a government platform. Formats and timelines differ by country, and some countries require real-time reporting to the tax authority.
We map your sales and purchase flows to each country's mandate and configure invoice delivery from Zoho Books, using certified providers where required.
Key rules at a glance
- Italy: B2B invoices cleared through the Sistema di Interscambio (SDI).

A practical guide for Europe businesses
From paper to structured data: the European direction
The EU has adopted the ViDA package, VAT in the Digital Age, which sets a path towards digital reporting and mandatory e-invoicing for cross-border business transactions and allows member states to introduce domestic mandates. Several countries already require or are phasing in structured e-invoicing for domestic B2B and B2G transactions, each with a different timetable, format and platform.
The common technical anchor is the European standard EN 16931, and the Peppol network is used in many countries, but national platforms and clearance models still differ. A business that operates in several countries therefore needs a flexible invoicing process, not one fixed template.
What changes for your invoices
An e-invoice is not a PDF. It is a structured file, usually XML, that software can read without human interpretation. In clearance models, the tax authority or an approved platform validates the invoice before or as it reaches the customer. In post-audit models, the invoice moves between parties, and data is reported to the authority later.
For a small business, practical changes include storing buyer identifiers, using standard unit and tax codes, issuing credit notes as linked documents, and keeping archives in the required format for the retention period.
- Italy has used the SDI clearance platform for domestic invoices for several years
- Germany requires businesses to be able to receive structured e-invoices, with issuing obligations phasing in later
- France is phasing in e-invoicing and e-reporting through approved platforms
- Belgium and Poland have introduced or scheduled national e-invoicing systems
How we help you get ready
We map your invoice flows by country, identify which transactions are in scope, and choose a route: direct connection to a national platform, a Peppol access point, or a certified service provider connected to Zoho Books. We then test with sample invoices and credit notes before the mandate date.
Because rules change, we keep a short compliance note per country, with what applies, from when, and the evidence we hold that the process has been tested.
Common e-invoicing models in Europe
| Model | How it works | Example |
|---|---|---|
| Clearance | Invoice validated by authority or platform before delivery | Italy's SDI |
| Peppol exchange | Structured invoice sent through an access point network | Netherlands, Belgium and Nordic countries for B2G and B2B |
| Platform with reporting | Approved platforms exchange invoices and report data | France |
| Post-audit | Invoices exchanged privately, data kept for audit | Legacy approach in many states |
