Many US small and mid-sized businesses inherit a chart of accounts and workflow copied from a template that does not match how the business actually runs, which makes handoff to a CPA at tax time painful. Through our Zoho Books accounting services, ERPHUBs structures the platform around your real revenue streams, vendor relationships and reporting needs from the start.
Sales-tax-aware setup, 1099 vendor tagging and clean bank reconciliation keep your books organized year-round. For state return preparation and filing, see our dedicated USA Sales Tax Filing service. You can also explore the core Zoho Books implementation and integration service.

A practical guide for United States businesses
Setting up Zoho Books the way US accountants and the IRS expect
A US set of books is judged on three things: whether it ties to the bank, whether it can be mapped to a tax return, and whether it can survive a sales tax or payroll notice. We therefore start with the chart of accounts, not the invoice template. Accounts are grouped so that they roll up to the lines of Form 1120, 1120-S, 1065 or Schedule C, and so that owner contributions, distributions and draws are never mixed with expenses.
Most US small businesses choose between cash and accrual accounting. Cash basis is simpler, but accrual shows the real position once you carry inventory, deposits or open receivables, and it is usually required for larger companies and for lenders. We set the basis in Zoho Books, document the choice, and keep a bridge to the tax method when the two differ.
- Chart of accounts aligned to the return you actually file
- Bank, credit card and loan feeds with monthly reconciliations
- Vendor records with W-9 status so 1099 reporting is ready in January
- Sales tax set up by state, county and city jurisdiction where needed
- Locked periods after close so prior months stop changing
A month-end close checklist for a US business
Clean books are a habit, not a project. A short, repeatable close keeps the file audit-ready and makes the quarterly estimated tax and sales tax work almost mechanical. Our standard close covers the following steps, usually completed within the first ten business days of the month.
Reconcile every bank and card account, clear the undeposited funds account, review uncategorised transactions, match vendor bills to payments, post depreciation and prepaid expense entries, review payroll liabilities against deposits, and compare the sales tax liability account with what the state portal shows. Variances are written up and resolved, not carried forward.
Moving to Zoho Books from QuickBooks, Xero or spreadsheets
Most of our US projects are migrations. We map the old chart of accounts to the new one, bring over opening balances at a clean cut-off date, and import open invoices and bills so aging reports are correct on day one. History is kept as summarised journals or as reports archived in PDF, depending on how far back you need detail.
We run the new books in parallel for one close, compare trial balances line by line, and only then switch the bank feeds. Your accountant gets read access during the parallel month so there are no surprises at the first tax season on the new system.
What a US business should keep, and for how long
| Record | Typical retention | Why it matters |
|---|---|---|
| Tax returns and supporting schedules | At least 3 years from filing, often 7 | The general IRS assessment period is 3 years, longer for large omissions or no return |
| Employment tax records | At least 4 years | Needed to support Forms 941, 940 and W-2 reporting |
| Asset and depreciation records | For the life of the asset plus the return period | Required to support depreciation and gain or loss on sale |
| Sales tax returns and exemption certificates | Per state, commonly 3 to 4 years | Certificates are your defence if a state questions an exempt sale |

Yes. Zoho Books supports US dollar books, sales tax by jurisdiction, 1099 vendor tracking and owner equity accounts. The key is setting the chart of accounts to match your tax classification, which we do during onboarding.
Yes. We prepare reconciled books and supporting schedules, and give your CPA read access. We do not replace a licensed CPA for signing returns; we make their work faster and cheaper.
A small business with a single entity and clean data is often moved within a couple of weeks including a parallel close. Multi-entity, inventory or multi-currency files take longer and are scoped after a discovery call.
Zoho Books lets you define taxes and tax groups per jurisdiction and apply them on invoices. Rate lookup, nexus decisions and state filings still need a process, which we set up and run with you.
